What my learning of excel can teach you in learning CATIA, ANSYS etc?

Learning a tool is like climbing a multistorey building on ladders, They don't always go straight. They go one level, stop and make a turn and then you move on to the next stairs which lead you to the next lavel. 

This is what happens when you learn a software tool, like catia, ansys etc. You don't become a master in that software in one stretch of time. You learn in levels

When i was learning excel, i saw this very clearly. I learnt all the formulas in excel and began applying them in my work and play. After few weeks practise and reading and experiments, i was comfortable with the formulas and this ability came as great help to me at that times work. After a time, my learning of new thing in excel stopped as i was able to do most of the things in it with what i already new. so on the learning excel front, i have reached one level and i wasn't climbing any higher.

This remained till i came to NAL, where i was supposed to debug and modify a existing vba level program, this let me see the next stair that i have to climb in excel and sooner i was enjoying the next stair. the learning and experiments were furious in this phase. I learnt a lot and tasks that took hours were accomplished in minutes, the productivity of excel increased drastically. I continued to learn and apply. But, as before, after certain time i reached the top of this stairs and gradually my learning new things again slowed down to zero. I was applying what i knew but was stagnant on learning anything new. The current stairs just took me to this level. 

I had to find starirs to the new level now. 

This happened a year latter when I was assigned to a new project where I have to work on a program that was entirely sitting on excel. this was the stairs of advance vba and this is when i learnt more deeply about vba in excel and its capabilities. 

So the point is that there are steps or levels in learning a  software. Each stair leaves us to one level higher, then we need to find the next steps and climb one more level. This is a continuous process. All institutes will lead you to one level or the next. After that its your own initiative to climb higher. 

And the best way to find and get to the next level is to challenge yourself to move to the next level or to take on an extra responsibility that takes you to that next level.

Majority of my work in office is done on excel and I have seen most of the other folks who are working on NASTRAN, CATIA, Solidworks, ANSYS etc. etc use excel one time a day, so when I saw this excellent post from chandoo about excel I just had to share this with you.

Here’s the 25 useful excel keyboard shortcuts that has the power to make a super man in excel !!! :) Thanks chandoo.

The tips marked in different colors are the once that I can’t live without

1. To format any selected object, press ctrl+1
2. To insert current date, press ctrl+;
3. To insert current time, press ctrl+shift+;
4. To repeat last action, press F4
5. To edit a cell comment, press shift + F2
6. To autosum selected cells, press alt + =
7. To see the suggest drop-down in a cell, press alt + down arrow
8. To enter multiple lines in a cell, press alt+enter
9. To insert a new sheet, press shift + F11
10. To edit active cell, press F2 (places cursor in the end)

11. To hide current row, press ctrl+9
12. To hide current column, press ctrl+0
13. To unhide rows in selected range, press ctrl+shift+9
14. To unhide columns in selected range, press ctrl+shift+0
15. To recalculate formulas, press F9
16. To select data in current region, press ctrl+shift+8

18. While editing formulas to change the reference type from absolute to relative vice versa, press F4

I’m sorry to break this to you, but if you spend your time analyzing data and Excel is your primary tool, then you must use VBA. I’m not telling you should be a programmer, far from it. But you should be able to record a macro and make some simple tweaks. There are many repetitive tasks that can easily done using three lines of code.

Unfortunately lost the source of the quote but very true.

Here's the learning stairs route that I can suggest for anyone wanting to master excel.

  1. Learn the 50 common basic formulae.
  2. Learn the useful shortcuts of excel
  3. Then go for recording small macros!
  4. Then start tweaking it.
  5. Next read more about VBA and apply it in editing your macro.
  6. After this to excel help file and pour over it's documentation.


This are the steps. There is no direct lift to VBA programming. Learn this via this steps you will climb much faster.

4 function key excel shortcuts that help me in my work

Whatever you use, be it catia, solidworks, UG, NASTRAN,ANSYS ,PATRAN, HYPERMESH or any other CAE software, excel is one of the software tool that always be the one that will be come to you. Maybe for preparing some graphs or presenting the data from the analysis. For my work excel is tool that i use everyday ion my office. so today i would like to share some of 4 function key shortcuts of excel that has made my life easy.

F2 the second most used key for me. If you want to edit a cell value. This is the key to use. Instead of double clicking F2 comes handy to edit those long formulae's.

F7  spell checker. My spellings are bad, even in spread sheet I manage to get many spelling mistakes, so one click on F7 I the best that I can get.

F4 is the most versatile function key of excel. I use it the most. It repeats your last action. So this can be used for many task. Since there no fix action. so its programmable to use any action. If I have to delete a row. repeatedly. I select the row and then right click on it and choose delete. after than any row I want to delete I just choose that row and press F4. similarly if I have to clear lot of stuff from one sheet. I use the F4 key instead of right click and choosing clear contents multiple times.

F11. Most of the time my work in excel involves making graphs of the data and f11 comes to the rescue. just select the data and press F11. You will have the default graph plotted. Since I want a particular type of graph so I always make a default graph and use it every time I need a graph.

Small projects - the what and how

In this two part series of post we are discussing small personal
projects. Last post discussed why working on small project is
important and this post will discuss what are small projects and how
to impliment them in your life!!


Small project is something that you have selected. Small project is
something that helps you learn or develop your skills. Small project
is not something part of your work. Small project is something that
you will complete in one or two weeks.

Anything that takes longer than two weeks, is part of your work
delivery, is not helping you stretch your boundaries is not a small
project.

So definition of small project being set, let see what they can be?

They can be anything. Anything that teaches and adds new skills is a
project. So take a hard look at what skills do you have and what you
want. Small projects should be the bridge between them.

Let's take my recent project. Developing excel games for my daughter.
I am a reasonably good programmer. I have worked on and developed lot
of engineering softwares.

I have even developed excel applications to support development of a
new gas turbine engine. But it occurred to me, except from window
based forms I haven't really meddled with graphics and sounds in excel.

So I took up this excel project of creating small, simple and
straightforward games in excel. My daughter loves them. And so far I
am improving my excel skills along the way.

Similarly you need to select things that apply to your present
situation. If you are using catia, accelerate your cad skills by
designing your own bike in it.

Hope this two posts have pushed you a step closure to take up your
very own small project.

Take up a Tool early on in your AeSI days

skills-aesi As I began after AeSI I had certain advantages and one advantage that set me up against all was my programming skills. This skills has helped me from the training days of NAL to till now. I am glad I was introduced to computers earlier on and this sparked my life long love with computers.

I guess the immediate responsive nature of computers have attracted me. From the time I have worked on, every year  I picked up some new skills in it an that in tern fueled the extra passion.When I entered NAL I was proficient in c due to my policy of writing one c program daily in my last semester, from there onward during the NAL days I got a hang on vbscript and VBA, and vb. As I gathered each skills and learnt new tools, this programming bug grew bigger. My majority of the task was on computers in NAL, even when I didn’t have any access to any tools because of license being occupied or system busy, I sat on a computer that had excel and tinkered with it.

This tinkering nature is the one which I will attribute all my learning success. Its this enquiring attitude that has made my life easy now as I accomplish things that might take days but now happen in couple of hours. Learning excel had brought so many benefits.

So take up a tool early on in your AeSI days, if you don’t have access to the big tools like catia, ansys, nastran etc. Don’t worry begin with excel.  You will be thanking yourself in the long run. Even you have no PC at hand utilize the cyber cafe pc or any PC that you can but make sure you learn and get a hang of the tool. Use the resource of internet. The excuse how do I do it is no longer valid. Every how is available on the net search. Why do you think I analyzed the results of AeSI  since 2002, yes analyzing it was part of my exercise to learn excel. That exercise taught me excel graphs!!! So take up a tool and begin tinkering. Proficiency in a tool is just a matter of hours that you will put in it. So put in some specified amount of time everyday. Be consistent and you will kiss the stars.

What can we learn from my collegue at work?

A collegue of mine is complaining me everyday that he is stuck, he is
doing uninspiring work? He is not learning anything new!

I don't know about him but I see an opportunity there. I see time that
he can utilize to learn whatever he wants to but all he does the same
repeatative job at the same slow pace.

He is using excel and is doing the same kind of work for a year now
but he is poor in excel, by now he would have been fluent in that tool
but since excel is everywhere he disregards it. Shuns it. Hates it.

He is ignorant of simple if formula and of simple techniques of excel.

If this is attitude he approaches his work he will remain in the same
rut till he quits.

Its not what you do that will teach you but how you do something?
Opportunities don't come to ideal work, it springs from the laps of
challenging work.

So this is what I suggested him.
1. Automate your repeatative work.
2. Do the work at a faster pace.
3. Utilize the remaining time doing small experiments in excel.
4. Read more about the tool you are using.
5. Aim to be an expert in it.
6. No tool is unimportant.
7. Your value is not it the number of tools you know but in the things
you can do with the tools you know.

I wish I could do some more for him. But I know he is the one who has
to walk. All we, as external person, can do is point him the right way.

List of 50 common excel worksheet functions

This is the list of 50 common excel functions that I use on regular basis for all my work related task. I think anyone doing work on excel on regular basis should be conversant with all these formulas.

See how many of this do you know?

abs

Returns the absolute value of a number. The absolute value of a number is the number without its sign.

acos

Returns the arccosine, or inverse cosine, of a number. The arccosine is the angle whose cosine is number. The returned angle is given in radians in the range 0 (zero) to pi.

asin

Returns the arcsine, or inverse sine, of a number. The arcsine is the angle whose sine isnumber. The returned angle is given in radians in the range -pi/2 to pi/2.

atan

Returns the arctangent, or inverse tangent, of a number. The arctangent is the angle whose tangent is number. The returned angle is given in radians in the range -pi/2 to pi/2.

average

Returns the average (arithmetic mean) of the arguments.

choose

Uses index_num to return a value from the list of value arguments.  Ex. CHOOSE(index_num,value1,value2,...)

column

Returns the column number of the given reference.

columns

Returns the number of columns in an array or reference

concatenate

Joins several text strings into one text string. CONCATENATE (text1,text2,...)

convert

Converts a number from one measurement system to another. For example, CONVERT can translate a table of distances in miles to a table of distances in kilometers. CONVERT(number,from_unit,to_unit)

cos

Returns the cosine of the given angle.

count

Counts the number of cells that contain numbers and also numbers within the list of arguments. Use COUNT to get the number of entries in a number field that's in a range or array of numbers

countblank

Counts empty cells in a specified range of cells.

countif

Counts the number of cells within a range that meet the given criteria

Date

Returns the sequential serial number that represents a particular date DATE(year,month,day)

day

Returns the day of a date, represented by a serial number. The day is given as an integer ranging from 1 to 31.

degrees

Converts radians into degrees

find

FIND finds one text string (find_text) within another text string (within_text), and returns the number of the starting position of find_text, from the first character of within_text.  FIND(find_text,within_text,start_num)

hlookup

Searches for a value in the top row of a table or an array of values, and then returns a value in the same column from a row you specify in the table or array

hyperlink

Creates a shortcut or jump that opens a document stored on a network server, an intranet, or the Internet.

if

Returns one value if a condition you specify evaluates to TRUE and another value if it evaluates to FALSE

index

Returns a value or the reference to a value from within a table or range.

indirect

Returns the reference specified by a text string. References are immediately evaluated to display their contents. Use INDIRECT when you want to change the reference to a cell within a formula without changing the formula itself

left

LEFT returns the first character or characters in a text string, based on the number of characters you specify

lookup

Returns a value either from a one-row or one-column range or from an array.

match

Returns the relative position of an item in an array that matches a specified value in a specified order.

max

Returns the largest value in a set of values.

min

Returns the smallest number in a set of values.

month

Returns the month of a date represented by a serial number. The month is given as an integer, ranging from 1 (January) to 12 (December).

now

Returns the serial number of the current date and time.

offset

Returns a reference to a range that is a specified number of rows and columns from a cell or range of cells.

pi

Returns the number 3.14159265358979, the mathematical constant pi, accurate to 15 digits.

power

Returns the result of a number raised to a power. POWER(number,power)

rand

Returns an evenly distributed random number greater than or equal to 0 and less than 1.

right

RIGHT returns the last character or characters in a text string, based on the number of characters you specify

row

Returns the row number of a reference.

rows

Returns the number of rows in a reference or array.

sin

Returns the sine of the given angle

sqrt

Returns a positive square root.

stdev

Estimates standard deviation based on a sample. The standard deviation is a measure of how widely values are dispersed from the average value (the mean).

substitute

Substitutes new_text for old_text in a text string. Use SUBSTITUTE when you want to replace specific text in a text string; SUBSTITUTE(text,old_text,new_text,instance_num)

sum

Adds all the numbers in a range of cells.

sumif

Adds the cells specified by a given criteria.

tan

Returns the tangent of the given angle.

text

Converts a value to text in a specific number format. TEXT(value,format_text)

transpose

Returns a vertical range of cells as a horizontal range, or vice versa.

trim

Removes all spaces from text except for single spaces between words.

vlookup

Searches for a value in the leftmost column of a table, and then returns a value in the same row from a column you specify in the table.

weekday

Returns the day of the week corresponding to a date. The day is given as an integer, ranging from 1 (Sunday) to 7 (Saturday), by default.

year

Returns the year corresponding to a date. The year is returned as an integer in the range 1900-9999

What if you don't have access to any CAE softwares?

If you are long term reader of this blog, you know how much I emphasis
on learning a tool. Software are tools and if you want to be an
accomplished engineer, you have to master one.

But what if you don't have access to high end CAD and analysis
softwares. What if catia is unavailable, no access to ansys or any
other tool. What then should you do?

Well learn excel. Yes Microsoft excel. You don't realize now, how much
of your work you might be doing in this all pervasive tool.

From sorting out coordinates, checking values from a program to lots
and lot of daily work, excel will stand with you.

So master it.

If you don't have access to world class, state of the art, CAE tools,
turn your attention to the humble yet powerful tools that's idling in
your hard drive. Excel being one of them!!

Explore- a simple and effective way to continue learning while working

From the days of my training in NAL after my last AMAeSI and to this
day I am doing this ritual.

Everyday in office I set 30 mins in which I just explore. That is my
exploration time. In my exploration time I just take up any software,
topic or something of interest related to office work and just tinker
with it.

Sometimes the tinkering is based on the previous thing I saw someone
do in the software or it might be a general excel dummy plots or just
eyeing the online helps of different softwares. But everyday, without
fail, I do my exploration.

What has it done for me?

It has taught me catia, ansys, solidworks, unigraphics, excel, vba,
macros, sco3, javascript, vbscript and many more software and languages.

This exploration has polished my excel, powerpoint and word skills.

While in NAL, this exploration was deliberate and consumed more time
but the habit formed in that phase stuck and I am still reaping
rewards of it.

So if you are doing training, or just joined work. Set up a daily
ritual for your workdesk and devote 15 to 20 minutes to explore
whatever fancies you on that day.

Here are some basic tips that you need to keep in mind.

1. Setup a time that is it can be first thing in the morning or just
before lunch or just before tea but set a time.

2. Now since this will not be an urgent thing, and office environment
throws so many unexpecterd tasks, you will forget it easily so set up
some reminders. Have your desktop wallpaper remind you. Or configure
your outlook to remind you to explore. Post a note underneath your
lunch box to remind yourself. Whatever you do the main idea is to
remember to do your exploration.

3. Thirly do something that is relevent to your work now or in future.
Don't just get on net and surf. Try a new excel trick you learnt
recently or try a new command in catia or simply browse through the
ansys manual. If you do it with a learning attitude you will always
take something valuable out of this experience.

Some thoughts on learning software and time needed.

Excel has been part of my work life from nal days. From importing
cordinates to excel program to using excel to plot curves in catia, I
have done so many thing with it. Now I am fairly confident in this
software and know many things in that software from basic formulaes to
advance stuff. From simple macros to vba programming.

But all this I didn't learn in a day, a week, a month or even a year.
This stuff I have learnt over the years. I am still learning.

The point being, all softwares are huge. One can never know, learn,
and master them in some short period of time. You need to give it
time. So when you begin learning catia, nastran, or ansys, give
yourself ample time and if possible start early.

Fix a schedule with minimum no of hours of practice and then stick to
it consistently for a considerable lengh of time. This is the essense
of being a pro in any field.

Which software to learn?

So many times i get this query from aesi and engineering students.

Which software should i learn?

My answer to them is do whatever you are passionate, if design is what you have a natural bent, then go for a cad program that you can lay your hands on. And if your creative juices flow at the site of analysis software, then go ahead grab the next analysis software that you can and begin.

But if you don't know where your passion lies then go ahead explore. Try design software that comes your way or grab that analysis software your friend it working on. Whatever you do, get moving and explore all the options that you can find. Who knows what sticks and you finally discover your passion.

But what if you know you want but you don't have access to any software. Well then get excel and learn it. This is one software that you will be using in whatever job you do so get excel and put it to use. You will thank yourself that you did it.

Software language that cad modellers ansys analyst and CDF's guys should start learning.

If you are reading the blog for long then you will know I advocate
learning at least one computer language. I strongly recommend that
whatever be your field, your stream, you should at least learn one
compter language.

So in this post I want to explore the computer language that people in
specific streams of domain of work can learn. The suggestion are not
hard and fast. They are just general directions, you are free to
choose whatever excites you.

If you know what language you want to learn, that's great. But I am
writing this for anyone who is undecided.

Inclusion of excel as part of computer language might be a surprise
but I will explain it.

After june 2008 amaesi exminations, bishnujee's message to aesi students.


Here's the mail that Bishnujee wrote address all the aesi students after the june 2008 amaesi exams. I like most of it and I have made the part bold that every aesi students should follow if he/she wants to excel in his/her career.

Dear AeSI Engineers & Students,

I believe all of you done with your AeSI June Semester examination and all of you should have given your best for same.Just wanted to inform you guys that this year some AeSI Engineer has been admitted in Cranfield University,UK for MSc in Propulsion Engineering . Cranfield is rated at same level as Havard Business School in UK for Aerospace Engineering and the intake is low and carefully screened out.


Still as I have advised most of you that most important aspect in your career should be your experience after AeSI Degree completion and there is no substitute for that whatever career you choose for in future.As you might now already be aware that IIT,IISc,MIT Graduates work in same companies in same position just like any other AeSI Graduates working for this concern.Also AeSI has now been accrediated as British Honours Degree in Aeronautical Engineering which includes Old syllabus Engineers too by Department of Skills & work ,UK Govt (NARIC,UK) which has been good news for AeSI Engineering Graduates.

Another aspect which all AeSI Students should take care of during academic period is that they need to have through knowledge of subjects to excel in there career and there should be not be attitude of just going through previous question papers to pass in this examination. Statistics

Every since AeSI days, statistics has been my interest. Crunching
numbers and getting something meaningful has been my passion.

As the reader of this blog, you might have since manifestation of that
in this blog over the years.

I have done these analysis of amaesi exams since 2000! Playing with
those vast arrays of numbers have since been a routine yearly task for
this blog.

Now what has this simple interest has done for me?

It has taught me excel, it has taught me graphs, it has taught me
animation in excel. It has taught me statistics in action.

The whole point of the post is follow your interest. Do something with
your interest that you can share. This will only make you better!!

In AeSI - Focusing on Solutions rather than on problems will reap rewards

Case 1:
One of the most memorable case studies on Japanese management was the case of the empty soapbox, which happened in one of Japan's biggest cosmetics companies. The company received a complaint that a consumer had bought a soapbox that was empty. Immediately the authorities isolated the problem to the assembly line, which transported all the packaged boxes of soap to the delivery department. For some reason, one soapbox went through the assembly line empty. Management asked its engineers to solve the problem. Post-haste, the engineers worked hard to devise an X-ray machine with high-resolution monitors manned by two people to watch all the
soapboxes that passed through the line to make sure they were not empty. No doubt,
they worked hard and they worked fast but they spent a Whoopee amount to do so.

But when a rank-and-file employee in a small company was posed with the same problem, he did not get into complications of X-rays, etc., but instead came out with another solution. He bought a strong industrial electric fan and pointed it at the assembly line. He switched the fan on, and as each soapbox passed the fan, it simply blew the empty boxes out of the line.



Case 2:

When NASA began the launch of astronauts into space, they found out that the pens wouldn't work at zero gravity (ink won't flow down to the writing surface). To solve this problem, it took them one decade and $12 million. They developed a pen that worked at zero gravity, upside down, underwater, in practically any surface including crystal and in a temperature range from below freezing to over 300 degrees C.
And what did the Russians do...?? They used a pencil.



Moral: Always look for simple solutions!!

If you are not clearing one particular amaesi exam of aesi, look not at the problem that aesi is getting strict, look for the things that you might have done wrong, Maybe when one line answer was sufficient, you wrote history,. Maybe the question was asking something and you gave something else. Analyze the question paper again and the answers you gave. This will bear more fruit than complaining about the transparency of aesi examination checking.

If you are not getting job after clearing aesi, look at the resume you are sending, are you following all the dictum's of sending resume. Do you modify and update your resume for the different requirements. This simple steps can do a lot. So look for solutions than mulling over problem. Mostly search for the simplest solution, that the one which is most effective.


Remember this two cases when you are faced with problem, big or small. Solve them. and focus of solutions rather than problems and look for the simplest solution.

IPL is the thing that is going on in office and all the places that i visit now, and most talked about things about it after the cheerleaders is the IPL points table. Now with the cheerleaders i can't help you but i thought of a way to get the IPL points table to your desktop.
